JOB OVERVIEW

The Sales and Events Coordinator (SEC) for the KF Aerospace Centre for Excellence is responsible for managing the Centre's event space and ensuring it is utilized effectively to achieve the Centre's purpose and mission. The role involves sales, booking, and management of the Centre's meeting and event space. The SEC will work with clients to design, create and operate events at the Centre utilizing our event management criteria as a guide. The SEC will also be responsible for the development, management and operations of the CFE's own internal events program which is a key component of our aviation experience exhibit service offering.

DUTIES AND RESPONSIBILITIES

Sales and Business Development

  • Main point of contact for all customer event space booking inquiries
  • Prepare and distribute information packs and promotional items
  • Conduct tours to highlight the possible uses of the event space
  • Actively participate in community events to promote the Centre for Excellence
  • Prepare and deliver PowerPoint presentations
  • Build relationships and network with third party planners, corporate event organizers, and destination marketing organizations
  • Work with the Marketing and Communications Coordinator to
    1. Pro-actively solicit new business
    2. ensure optimal online presence and digital marketing
    3. Stay on the pulse of the industry and competition, understand the trends, and make recommendations to move the business forward
  • Manage and fill the event calendar
  • Prepare proposals, develop budgets and negotiate contracts
  • Manage and maintain strong relationships with existing customers

Event Operations

  • Ensure understanding of customer expectations
  • Continuously liaise with customers on event plan details and timelines
  • Set up and negotiate contracted services with external third-party suppliers
  • Manage all event related communications with internal and external stakeholders
  • Ensure all resources are in place to successfully operate the event
  • Trouble shoot any concerns that come up during the event
  • Manage event budget
  • Maintain detailed event records
  • Work with accounting team on Accounts Payable and Receivable
  • Evaluate and analyze events following their delivery, identify areas for improvement
  • Ensure customer follow up and satisfaction.

CFE Events and Programs

  • Work as a key member of the team responsible for developing new CFE events that are designed to ensure the organization achieves its purpose and mission.
  • Manage the execution of CFE events including themed speaker series, school, public and private tour events, aviation themed festivals and fundraisers.
  • Work with the Marketing and Communications Coordinator to ensure the events are effectively promoted.

This is a new and evolving role, other tasks and duties may be assigned by the Executive Director.

REQUIREMENTS

  • Post-Secondary Diploma (Business or Hospitality) preferred
  • Minimum 3 years' experience as an event planner or event coordinator
  • Sales and / or public relations experience is considered an asset
  • Proven Customer Service skills
  • Drive to exceed customers expectations

  • Business and financial acumen
  • Flexible and adaptable
  • Proven ability to maintain grace under pressure
